Manage Subscription

How to upgrade, downgrade, cancel, reactivate, switch billing cycle, pay with crypto, and what each action does to your account

Everything about your plan is managed from Dashboard → Billing. This page walks through each action exactly as the dashboard exposes it, what you are asked to confirm, and what changes on your account afterwards.

Only the account owner can change the plan. If your plan was granted by a TicketCord administrator, the billing page shows Admin-managed and you cannot change it yourself; contact support instead.

The Billing page

Open ticketcord.com/dashboard, then Billing in the sidebar. The page has four parts, top to bottom:

SectionWhat it shows
Current PlanYour plan pill, then four tiles: Monthly Cost (or Payment Type: Prepaid for crypto), Bots Used out of your limit, AI Tokens Remaining (or AI Tokens: 0, No AI features on Free and Basic), and a date tile labelled Next Billing, Trial Ends, Access Ends, or Access Ended depending on your situation. A Manage Subscription button appears when you have a card subscription.
Redeem a Gift CardEnter a 16-character partner code to activate a plan.
Plans & PricingThe four plan cards with a Card / Crypto switch. With Card you also get a Monthly / Yearly switch; with Crypto you get an Access duration selector (3, 6, or 12 months).
Payment HistoryEvery payment with description, date, status, amount, and a link to the invoice when there is one. See Invoices.

Banners appear above the tiles when relevant: "Your Enterprise trial is active" during the signup trial, "Your subscription is scheduled for cancellation" after you cancel, and "Your subscription has been canceled" once the period has ended.

Upgrade with a card

Choose the plan and cycle

In Plans & Pricing leave Card selected, pick Monthly or Yearly (yearly is about 17% cheaper), and click Upgrade to Basic, Upgrade to Pro, or Upgrade to Enterprise.

Complete Your Purchase

A consent dialog opens showing the plan and price ("You will be charged €X for the month/year. Your subscription will automatically renew until cancelled."). If you already have a card subscription on a lower plan, the dialog shows the exact amount charged today instead ("You will be charged €X today for Pro until 7 September 2027, after a credit for any unused time on your current plan. After that, your subscription renews at €Y per year until cancelled."). Tick both boxes, which start unticked:

  • I want immediate access to my subscription features
  • I agree to the Right to Withdrawal waiver ("You understand that services begin upon purchase, and you waive your Right to Withdrawal once those services begin.")

Click Continue. By continuing you also agree to the Paid Services Terms. A confirmation email is sent after purchase.

Pay

If you have no active subscription, you are sent to Stripe Checkout to pay by card or Link. The checkout page has a field for a promotion code.

If you already have an active card subscription on a lower plan, there is no checkout. The amount shown in the dialog is charged to your saved payment method right away: the new plan for the rest of your billing period, minus a credit for the unused part of the old plan. The plan changes only once that payment succeeds. If it is declined, nothing changes and nothing is charged; update your payment method in Manage Subscription and try again. Your renewal date does not move. Going from monthly to yearly, the yearly period counts from the start of your current billing period, so the first charge covers the time until that period's anniversary. If the price changes before you confirm, the dialog shows the new amount and asks you to tick both boxes again.

Confirmation

You are returned to Billing with "Subscription activated!". The new plan is live immediately; the Current Plan card updates and any bots that were Plan Limited can be started from Bots.

EU law gives consumers a 14-day right of withdrawal on digital services. Because TicketCord activates the moment you pay, the two checkboxes record your express request for immediate access and your acknowledgement that you lose that right once the service begins. Once the paid plan begins, subscriptions are non-refundable.

Downgrade to a lower paid plan

When you are on a card subscription, the card for a lower plan shows Downgrade to Basic (or Pro). Pick Monthly or Yearly first, then click it. A Switch to Basic dialog explains the change; click Schedule change to confirm.

  • The change takes effect at the end of the billing period you have already paid for. Until then you keep your current plan and all of its features.
  • Nothing is charged, refunded, or credited when you schedule it. From that date the subscription renews at the lower plan's price.
  • The Current Plan card shows "Plan change scheduled" with the date. Click Keep Pro (the button names your current plan) to undo it before then.
  • Choosing a different lower plan before that date replaces the scheduled one.
  • A downgrade cannot be scheduled during a trial, while the subscription is set to cancel, or while a payment is past due.
  • To upgrade or cancel while a downgrade is scheduled, click Keep … first.

Moving to Free is a cancellation: the Free card opens the Stripe billing portal (see Cancel).

What changes when the downgrade takes effect is listed under What happens when you downgrade: bots above the new limit stop with the status Plan Limited (oldest bots stay running), features the new plan does not include are switched off but keep their settings, and nothing is deleted.

Cancel

Open the portal

On the Current Plan card click Manage Subscription. This opens the Stripe billing portal for your account. If a downgrade is scheduled, click Keep … on the card first; the portal cannot cancel a subscription while a plan change is scheduled.

Cancel the plan

Choose to cancel the subscription and confirm.

Keep access until the period ends

Cancellation always takes effect at the end of the period you have already paid for, for trials as well as paid plans. Back on Billing the card shows "Your subscription is scheduled for cancellation. You'll keep access to Pro features until 12 October 2026. After that, your account will be downgraded to the free plan." and the date tile is labelled Access Ends.

After the period ends the account is on Free. Your account, bots, servers, settings, tickets, and transcripts all stay; only the plan changes. Closed-ticket content then follows the Free retention rules for tickets created from that point on (up to 90 days). See Plans.

Reactivate or resubscribe

  • Before the period ends: open Manage Subscription and undo the cancellation in the portal. TicketCord picks up the reversal and your plan continues with the same billing date; the cancellation banner disappears.
  • After the period ends: pick a plan under Plans & Pricing and go through checkout again, exactly like a first purchase (consent dialog, then Stripe Checkout).

Switch between monthly and yearly

Open Manage Subscription and change the price in the portal.

  • Monthly to yearly: the unused part of the current month is credited toward the yearly bill.
  • Yearly to monthly: takes effect when the current yearly term ends. There is no partial refund for the remaining months.

Pay with cryptocurrency

Crypto purchases are prepaid, fixed-length, and never renew. They are handled by NOWPayments.

Choose Crypto and a duration

In Plans & Pricing switch to Crypto, then choose an Access duration of 3 months, 6 months, or 12 months. The cards show a one-time EUR price: 3 and 6 months are the monthly price multiplied by the months; 12 months is the yearly price. Click Upgrade to ….

Complete Your Purchase

The same consent dialog appears, worded for a one-time payment: "You will be charged €X once for N months of access. This purchase does not renew automatically." Tick I want immediate access to my paid plan features and the withdrawal waiver, then Continue. If the price changed while the dialog was open, it tells you and asks you to accept again.

Choose a currency

You land on the Crypto payment details page. Under Choose a cryptocurrency, pick a coin and network (for example BTC, ETH, LTC, SOL, XMR, TON, TRX, XRP, BCH, BNB, or USDT/USDC on several networks), then click Create payment address.

Send the exact amount

The page shows the Amount, Payment address (with a QR code and copy buttons), the Network, and, for coins that need it, a Memo or tag (required). Send only the shown currency on the shown network; a different asset or network may be lost, and a missing memo can prevent the payment from being credited.

Wait for confirmation

The status moves from Waiting for payment to Payment confirming (received, waiting for blockchain confirmations) to Payment confirmed (NOWPayments is completing it; your plan is not active yet) to Payment complete: "Your prepaid plan is active until [date]. It will not renew automatically." The Current Plan card then shows Payment Type: Prepaid and Access Ends with the date.

The two timers

The payment page shows two countdowns:

  • Amount valid for: the crypto amount is a quote that is only valid for a short time because exchange rates move. When it runs out, the old amount is hidden "so you do not send the wrong amount" and you click Refresh amount to get a new one. Refreshing changes the amount, never the address.
  • Time left to pay: the payment window is 7 days from when the address was created. When it ends the page says "This 7-day payment window has ended. Do not send funds to this address."

Rules for crypto purchases

  • A crypto purchase is a fixed period of access. When it ends the account returns to Free. To continue, buy again or subscribe by card; nothing is charged automatically.
  • You cannot start a crypto purchase while you have an active card subscription ("Manage or cancel it before buying prepaid crypto access"), and you cannot start a card subscription while prepaid crypto access is active ("Wait until it expires before starting another paid plan").
  • There are no Stripe invoices for crypto; the purchase appears in Payment History with the Crypto method.
  • An unpaid crypto checkout can be hidden with Remove unpaid checkout in Payment History. This only hides it in TicketCord: the payment address still exists at NOWPayments, so never send funds to it after removing the checkout.

Redeem a gift card

Partners sometimes issue TicketCord gift cards. In Billing → Redeem a Gift Card, enter the 16-character code (format XXXX-XXXX-XXXX-XXXX) and click Redeem. The plan on the card is activated and the Current Plan card shows what you received and when it ends.

Failed renewal payments

If a renewal charge fails, Stripe retries the card and emails you. While the subscription is past due the account is treated as Free, so paid features and extra bots stop until the payment goes through. Fix the card in Manage Subscription (update the payment method, then retry the open invoice). If every retry fails, the subscription ends and the account stays on Free until you subscribe again.

Common questions

Will I lose my data if I cancel?

No. Cancelling only ends the paid plan at the end of the period. Your account, bots, servers, settings, tickets, and transcripts stay in place, and you can subscribe again at any time. On Free, closed-ticket content for tickets created after the downgrade is kept for up to 90 days.

Can I cancel my trial?

The 14-day signup trial has no card and no charge, so there is nothing to cancel; it simply ends. A trial attached to a card subscription (for example from a gift card) is cancelled through Manage Subscription and runs to its end date.

Can I pause my subscription?

No. Cancel and resubscribe later instead. Your configuration stays saved in between.

Do I get a refund if I downgrade or cancel?

No. You keep the plan you paid for until the end of the period, then the change applies. At checkout you waive the EU right of withdrawal because access starts immediately, so subscriptions are non-refundable once they begin. For billing problems email hi@ticketcord.com.

Where do I enter a coupon?

On the Stripe Checkout page, when subscribing by card. Existing subscriptions are managed in the portal.

I paid with crypto. How do I renew?

Crypto access never renews by itself. When the Access Ends date passes the account returns to Free. Buy another 3, 6, or 12 months from Plans & Pricing → Crypto, or subscribe by card once the crypto period has ended.

Does upgrading mid-month charge me twice?

No. Moving up within an existing card subscription credits the unused part of the old plan and charges only the difference. Your renewal date does not change.
